IMPORTANT: All participants will be required to have a Webex user or guest account to join the Webex sessions. The Metavent experience is browser-based, supported by Google Chrome.
Create a Webex Meetings conference
- Open your Webex Meetings desktop application
- Create your meeting with your desired meeting preferences
- Set the timing of the meeting to match the timing of your event session
Integrate the Webex Meetings into Metavent
- In Metavent, select the event from which you will be hosting the Webex meeting(s)
- In Event Options, if you are using Sponsor Rooms, scan each room to ensure you have set the rooms to be "Webex"
Add Webex Meetings to a New Session
- From the event menu, click Event Schedule
- From the Event Schedule window, click the "Add New Session" button at the top left of the page
- Fill in the event details
- Click "Save Session" at the bottom of the Add Session window
- Go back to the session, by clicking the session in the calendar or list view
- At the bottom of the window, click Add Asset
- Under Asset Type, select "Webex"
- Add your Webex Meetings ID
- In the Webex Meetings application, copy the meeting url
- Paste the Webex Meetings ID here
- Name the asset as you like
- Select a duration that matches the length of the session above; this must match, or the session will not link
- Click Save Session
Add Webex Meeting to an Existing Session
- Click Event Schedule
- From the Event Schedule window, go to the session you wish to edit by clicking the session in the calendar or list view
- At the bottom of the window, click Add Asset
- Under Asset Type, select "Webex"
- Add your Webex Meetings ID
- In the Webex Meetings application, copy the meeting url
- Paste the Webex Meetings ID here
- Name the asset as you like
- Select a duration that matches the length of the session above; this must match, or the session will not link
- Click Save Session
