How to integrate Webex Meetings into Metavent

IMPORTANT:  All participants will be required to have a Webex user or guest account to join the Webex sessions.  The Metavent experience is browser-based, supported by Google Chrome.

Create a Webex Meetings conference

1. Open your Webex Meetings desktop application
2. Create your meeting with your desired meeting preferences 
3. Set the timing of the meeting to match the timing of your event session
   

Integrate the Webex Meetings into Metavent

1. In Metavent, select the event from which you will be hosting the Webex meeting(s)
2. In Event Options, if you are using Sponsor Rooms, scan each room to ensure you have set the rooms to be "Webex"

Add Webex Meetings to a New Session

1. From the event menu, click Event Schedule
2. From the Event Schedule window, click the "Add New Session" button at the top left of the page
3. Fill in the event details 
4. Click "Save Session" at the bottom of the Add Session window
5. Go back to the session, by clicking the session in the calendar or list view 
6. At the bottom of the window, click Add Asset 
7. Under Asset Type, select "Webex"
8. Add your Webex Meetings ID
   1. In the Webex Meetings application, copy the meeting url
   2. Paste the Webex Meetings ID here
9. Name the asset as you like
10. Select a duration that matches the length of the session above; this must match, or the session will not link
11. Click Save Session

Add Webex Meeting to an Existing Session

1. Click Event Schedule                                 
2. From the Event Schedule window, go to the session you wish to edit by clicking the session in the calendar or list view 
3. At the bottom of the window, click Add Asset 
4. Under Asset Type, select "Webex"
5. Add your Webex Meetings ID
   1. In the Webex Meetings application, copy the meeting url
   2. Paste the Webex Meetings ID here
6. Name the asset as you like
7. Select a duration that matches the length of the session above; this must match, or the session will not link
8. Click Save Session
