Metavent allows you to enter your virtual event before it begins!
What are the benefits of this feature? Testing or Quality Assurance (“QA”) ensures that your event goes off flawlessly since you can experience it during the planning stages and make any changes/edits to avoid glitches on your special day.
To begin, enter your event by accessing it by clicking on Events from the dashboard. Select your event and enter your event dashboard. First, visit Registration from the navigation bar. Under Registrations, click on Add Registration and complete the required fields to create your event registration. Next, you will toggle the button on the screen to enable the Test User feature. You can also enable this feature for other members of your team if you want to put more eyes on your event. You will repeat the previous steps to add them as registered users for your event and make sure to enable the Test User feature. Don’t forget to click on Save/Add Registration to save your changes.
You will also note that the Moderator feature is also shown on the screen. With this feature, you can empower users in your event to moderate the event chat, flag disruptive comments and ban an Explorer (commonly known as “attendees”) from your event. Back to testing your event!
Under Registration Options, you will create your unique event URL and event code. Click on the Edit button to begin. First, check that your event start date and time is correct. Do the same for your event end date and time. Next, under Event Code, enter a unique code for your Explorers to use to enter your event. This is a case sensitive field, so make sure that you send it to your Explorers exactly as it is created. Finally, under Event Slug, enter a unique URL into the field. Don’t worry about remembering the metavent URL, it will automatically be added once you save. Once you have created your event URL and event code, click on Save Registration Options to finish. Now, you will see that the metavent page has included the full event URL address for your event.
Now it is time to enter your event! Start by clicking on the copy icon next to your Event URL. This will copy your URL to your computer’s clipboard. Open a new internet browser and paste your Event URL and press enter. You will see your first metavent feature that you created, the Log In Page. Using your registration email and the Event Code you created, enter your event!
Using the Global navigation bar, move through your event by viewing your Keynote address, view any networking or breakout rooms you created, view your sponsorship meeting rooms and view your event agenda to ensure that all the videos, logos and graphics that you uploaded in Virtual Venue are displaying correctly. Please note that if you have not selected the Submit Your Virtual Venue button, the actual structure of your event will not be displayed properly. Please contact your Account Manager if you have any issues.
As you navigate through your event, It is recommended that you take notes of any issues and where they are located in your event in order to later update the files and/or videos that need to be changed. Use the metavent Asset Guide to ensure that all of your digital assets meet the ratios and size requirements for the best visual experience.
As you make any changes to your event, it is important that you do a periodic QA walkthrough of your virtual event, especially one week prior to your event, for the best virtual experience.
